About the business unit  
The Energy unit delivers services to clients globally across several sectors including hydropower, nuclear, waste, renewable generation and transmission & distribution networks. Together we provide integrated engineering and project management services across the project lifecycle – from concept and design to construction and operations, to decommissioning or repowering and life extension. Together with our clients, we’re helping to deliver the energy transition globally. 

 

Overview of role
You will be part of the Energy Unit supporting Energy Networks - Transmission & Distribution projects across the UK and Ireland. As an experienced Document Controller within the Civil & Structural team your primary focus will be to maintain project information, incoming and outgoing deliverables, oversee quality assurance workflows, maintain high technical standards, and help to guide and develop junior staff.  You will collaborate and work with colleagues on projects, internal and client, fostering a knowledge sharing environment.

This is a key role and it’s vital in ensuring that the team is using the latest versions of all documents to enable our work to be accurate, consistent and delivered on time to our client.

 

The key requirements of this role include:

  • Providing support to maintain project Incoming and Outgoing Information records
  • Providing support to maintain project Request for Information records
  • Providing support to maintain project Technical Query records.
  • Configuring and maintaining QA workflows
  • Providing training and guidance to users of the project IMS.
  • Supporting the Information Management Lead with testing document control environments.
  • Supporting audits of projects and preparing reports to ensure compliance of projects to IM standard
  • Ensuring all management system documentation is the current version and easily accessible

 

Candidate specification
As an experienced Document Controller, you have the ability to prioritise and work under pressure while demonstrating a flexible approach to work. Your time management skills are effective, and you enjoy working in a team environment while using your initiative and taking a methodical approach to tasks. You are comfortable working within an office environment and are able to foster and maintain good working relationships with colleagues and external contacts. You are a friendly and outgoing individual and are approachable for administration and support.

 

What you will bring to the team:

  • Knowledge of information management systems (IMS) e.g. SharePoint, Autodesk BIM360 and ProjectWise.
  • Good experience in using Microsoft Office Suite MS Word and Excel.
  • Demonstrable understanding of applying information standards.
  • Experience in the curation and administration of quality assurance workflows.
  • Enthusiasm to learn new skills and embrace new technologies and software.
  • Able to effectively manage workload in a busy and dynamic environment.
  • Willing to take ownership of issues and work autonomously to find solutions.
  • High attention to detail.

 

The following skills will be an advantage:

  • Experience of the civil and structural engineering sectors.
  • Knowledge of project delivery using ISO 19650 processes.
  • SharePoint project site administration and setup.
  • Experience with PowerBI or analytics.
  • Experience of Autodesk BIM360 project administration.
