Purpose of the role:

 

Engage with HR, the business, internationally mobile employees, third party suppliers and other stakeholders to ensure that an assignment case and international moves are effectively managed from initial costing through to repatriation or localisation. 

 

Key Responsibilities:

  • Consult and support the business and HR with bids ensuring all parties are aware of costs, potential challenges or considerations as part of the bid process
  • Consult with HR, stakeholders and business as appropriate to determine the best policy / approach for the international move they are considering
  • Manage a portfolio of cases across multiple regions, divisions and business areas
  • Engage with the business and GM Business Partner on individual cases to:
    • Produce a detailed cost estimate for the proposed international assignment / relocation
    • Support the business to gain the appropriate sign-off and approval for the cost estimate
    • Provide support / facilitation to the business as required throughout the life cycle of the assignment
    • Review package preparation i.e. cost projections, compensation balance sheets and assignment letters and deliver these to HR / Business area
  • Day to day business partnering including:
    • Providing knowledge and understanding of compliance requirements
    • Understanding global mobility processes, roles and responsibilities and how these interlink with HR and the business
    • Explaining cost estimates and balance sheets
    • Supporting any outputs / actions relating to the Immigration Risk Treatment Plan activity.
  • Queries management
    • Analysing cost estimate information and responding to related business queries
    • Management of escalated supplier queries throughout pre-move and at other relevant points during the life cycle of the move
    • Providing second line query management support for queries which have been escalated via multiple channels
  • Management of internationally mobile employee’s experience through the assignment / transfer
    • Be the main point of contact for assignee / transferee and ensure timely and clear communication with them throughout the life cycle of their move
    • Relocation logistics for the assignee/transferee in both home and host locations, including tax set up, visa support, relocation management, set-up of pay, repatriation
    • Provision of the pre-move briefing and co-ordinating of third parties to ensure effective pre-move processes
    • Gathering feedback from internationally mobile employee whilst on assignment / post transfer and proactively setting expectations
  • Responsible for end-to-end case management of moves across Middle East & Africa region.
  • Co-ordinate all third-party suppliers to support the employees’ requirements in line with the Global Mobility policies
  • Co-ordinate internal transfer requirements for internationally mobile employees, e.g. payroll, pension, benefits etc.
  • Responsible for correct usage of case management tools and upkeep of live data through global technology platform
  • Initiate, develop and maintain relationships with key HR/Business contacts
  • Ensure activity is tracked and performed within all relevant SLAs/KPIs
  • Liaison with HR and other members of the Global Mobility team regarding exceptions
  • Act as role model and motivate the Global Mobility Specialist Administrators to deliver a world class customer service through the production of cost projections and administrative support they are delivering within the GM team
  • Hold complete end to end knowledge of all processes including outsourced providers operational processes and systems
  • Ensure interested parties are kept informed and apply consistently effective interpersonal skills in handling customer contact at all levels
  • Take on area of responsibility within team e.g. tax or relocation services and projects as needed
  • Act as subject matter expert for own region and develop working knowledge of other regions

 
Candidate Specification:

  • Experience in Global Mobility is essential (in house experience) and can demonstrate prior excellence in creating cost estimates, assignment letters and case management
  • Excellent technical knowledge of expatriate compensation methodology
  • Strong relationship management skills, customer focused and demonstrate commercial / business awareness
  • Ability to work in a cost conscious and busy environment
  • Strong communication skills, able to confidently advise all levels of seniority
  • Prepared to work with challenging global locations, ideally with a focus on Middle East and Africa region
  • Strong problem-solving skills and independent judgement using analytical and consulting skills coupled with the confidence to push back when required
  • Numerate and able to analyse complex calculations, applying technical skills to find long term solutions
  • Strong cross-cultural awareness, sensitivity, and a high level of confidentiality
  • Working knowledge of Tax, Immigration and Social Security regulations
  • Attention to detail and strong organisational skills with ability to constantly re-prioritise
  • Embrace technology and demonstrate experience of working with assignment management software
  • Strong team player, and able to work effectively and inclusively with remote teams with a view to developing people management skills
  • Ability to work in an ever-changing environment
